The workflow, from site to Xero

Five features, each producing what the next one needs, so nothing is typed twice between the roster, the timesheet and the invoice.

  1. 01Sites and customers

    Each building is set up once: address, door code, on-site contact, contract rate and who cleans it. That card is the source of truth for everything that follows, and the crew sees it on their phone.

  2. 02Schedule

    The roster is generated from each site's rule: an office cleaned five evenings a week produces five visits a week, on the agreed days, assigned to the cleaners you choose. One-off cleans, swaps and reschedules take two taps.

    The cleaner clocks in from the job card on arrival and out on leaving, with a GPS check at the site. Hours land on timesheets per person and per site. Export them to CSV, or on the Pro plan and above send the pay period to Xero Payroll as draft timesheets for your payroll person to approve.

    Tonight's job in the cleaner's language: address, door code, your note for the site and a room-by-room checklist. Photos are optional unless a client asks; one tap says "running late" or "couldn't complete" with the reason.

    At month end each site's invoice is drafted from the roster and the contract rate, in Australian dollars if you set it. GST is added at your rate, with your ABN on the PDF. Send it by email with your bank details, and mark it paid when the money arrives.

Yes, on the Pro, Business and Unlimited plans. A manager connects the Xero organisation, picks the pay calendar and the earnings rate, and matches each cleaner to their Xero employee. For each pay period the app first shows exactly what it will send, person by person, then creates one draft timesheet per person in Xero Payroll; your payroll person approves them in Xero. Pay rates, super and the pay run stay in Xero. Invoices are not sent to Xero.
Does FacilityCare IQ add GST to invoices?+
Yes, at the rate you set. Enter GST at 10% and your ABN once in Settings: each site's monthly invoice, drafted from the roster and the contract rate, adds GST on top of the subtotal, prints your ABN and is titled Tax invoice. A customer can be set to no GST. Prices entered GST-inclusive are not supported, and invoices are not sent to Xero.
